Contributor Terms & Conditions

Thank you for taking part in Held/Not Held, a community art project bringing together lino carvings from contributors to be printed and collaged into a single collective artwork by Zoe Clementines (the Artist). Please read these terms carefully before submitting your work. By submitting a carving, you confirm that you have read, understood, and agree to the terms below.

1. Your Submission

      Your carving must be your own original work, designed and made by you. Please do not submit designs copied or traced from another artist's work, published imagery, or material you do not hold the rights to.

      By submitting, you confirm that, to the best of your knowledge, your submission does not infringe the copyright, trademark, or other rights of any third party.

2. Licence to Reproduce

By submitting your carving, you grant Zoe Clementines a worldwide, royalty-free, irrevocable licence to:

      photograph, scan, and print your carving.

      reproduce, adapt, resize, and arrange it as part of the collective artwork, in any medium Zoe Clementines considers appropriate, including but not limited to fabric, print, digital and online formats.

      exhibit, publish, and promote the collective artwork — and, where reasonably necessary, individual contributions within it — in the UK and internationally, including online.

This licence covers the collective artwork only. It does not transfer ownership of your original design, and you remain free to use your own original carving/design in your own separate work, unless stated otherwise in Section 5 below.

3. Promotional and Other Use

Zoe Clementines may also use images of the collective artwork (and, where relevant, individual contributions within it) for the following purposes:

      exhibition and gallery display;

      publicity, press, and promotional materials for the project and Zoe Clementine's practice;

      the project's website and social media channels;

      publications, catalogues, or books relating to the project;

      reproduction as fabric, textiles, or other printed products connected to the project.

If you would prefer your contribution not to be used for any of the purposes above (for example, commercial products), please let Zoe Clementine know in writing before the submission deadline. This is a non-profit project, so any profit made from the creation of such products will be donated to a relevant charity.

4. Attribution

      All contributors whose work is featured in the final piece will be credited by name.

      Please indicate on your submission form how you would like to be credited (full name, first name only, or anonymously).

5. The Collective Artwork

      The finished collaged/printed piece Held/Not Held is a new, original artwork created by the Zoe Clementines, incorporating contributions from many participants.

      Copyright in the Work as a whole belongs to Zoe Clementines

      By signing these terms, contributors agree not to separately reproduce, publish, or sell images of the Work (the collective piece) without Zoe Clementines written permission. This does not affect your right to reproduce your own original carving on its own.

      Contributors agree to waive their right to object to Zoe Clementine’s adaptation of their piece within the Work (for example, resizing, recolouring, or combining it with other designs), while retaining their right to be identified as a contributor.

6. Physical Carvings

      After Zoe Clementines has finished working with the individual lino pieces, you may request to have them returned to you. You are welcome to collect them by arrangement from Zoe Clementines or have them posted to you. You may be asked to cover the cost of postage for this.

7. Key Dates

      Submissions will be acknowledged by receipt by: 31/10/2026

      The final design(s) will be shared with contributors when it's ready(ideally no later than 31st Jan 2027)

8. Your Details

      Zoe Clementines will hold your name and contact details only for the purposes of this project (acknowledging submissions, sharing updates, and crediting your work), and will not share them with third parties without your consent.

      If you are under 18, a parent or guardian must also sign these terms on your behalf.

9. Withdrawal

      Once the Work has been delivered to Zoe Clementines, it may not be possible to remove your individual contribution, as it may have been incorporated into the final piece.

10. Right to Decline

      Zoe Clementines reserves the right not to include a submission in the final Work — for example, if it doesn’t fit the brief or raises a copyright concern

       Zoe Clementines can decline or remove a submission that's racist, discriminatory, derogatory, offensive, or otherwise against the inclusive spirit of the project

      Zoe Clementines will try to explain the decision where possible, but isn't obliged to include the piece or give a detailed justification.

Declaration

I confirm that the carving I am submitting is my own original work, that I have read and understood these Terms & Conditions, and that I agree to them.
